Overview
When not using a Standard Chart of Accounts (SCoA) or (S) for the accounting files, Qvinci will capture the account number from non-parent accounts in the accounting system files/classes/locations. When generating native account reports (N) from within the platform, Qvinci will not include account numbers, and instead will sort the accounts alphabetically.
Users may choose to include account numbers in their report templates by having them in a separate column, concatenating (combining) them with the account name field that appears by default and then sorting the reports by the account number.
NOTE: If you are using a Standard Chart of Accounts, follow this link to learn more about managing your SCoA.
In this article, users will learn how to:
- Show account numbers in a template
- Sort the CoA by account numbers in ascending/descending order
- Show account numbers with account names in a template
Show Account Numbers in Report Template
Step 1. Open a report template from Reports & Libraries > Libraries.
Step 2. Determine where the account number column should appear.
(If the desire is to sort the CoA by ascending/descending order, account numbers should be placed in a column to the RIGHT of all financial data.)
Step 3. Select a cell that is to the right of the chart of account, and on the same row as the other column macros.
Step 4. Open the Column Chooser option and in the top drop-down box select "Account Numbers" and submit the request.
Step 5. The %%accountnumbers%% macro will appear in the cell that was selected:
Step 6. From the left menu, click on "Save," then "Preview" to see your changes.
Sort the CoA by Account Numbers in Report Templates
Step 1. From Reports & Libraries > Libraries, open a report template.
Step 2. The %%accountnumbers%% macro must be the right-most column (after all other financial data columns). See the above section to learn how to input the account number macro.
Step 3. Click on the cell from the template containing the %%accounts%% macro in the section you wish to sort by account numbers. (You have to repeat these steps for all account-type sections of the report.)
Step 4. In the left-hand menu, click the "Account Chooser" button and make a selection in the "Sort" section.
Step 5. Then choose to hide the account number column on the right. This will mean that the CoA will sort accordingly, but the account numbers will be hidden on the report.
Show Account Numbers with Account Names
Show Side-By-Side
To present the account numbers and account names together follow the below steps.
Step 1. From Reports & Libraries > Libraries, open a report template.
Step 2. As you may recall, the Chart of Accounts must remain as the farthest left column. So insert two columns to the right of the CoA.
Step 3. In the first column to the right of the CoA framework, follow the steps above to insert the %%accountnumbers%% macro in the same row as the other headers.
Step 4. In the next column to the right, perform the concatenation of the account numbers and the account name.
a. You can use the following formula: =(C14 & ":" & B14). Then copy/paste it into other rows.
b. Where that C14 = the account number cell, B14 = the account name cell, and that a colon should delineate the two.
c. While the above simplified formula helps illustrate this concept, you can also keep to a simple (=C14) allowing for the accounts to hydrate to the right of the numbers. Or alternatively, =Substitute(B14,Trim(B14), C14 & " " Trim(B14)
Step 5. The formula in column D will now serve as your chart of accounts. You can copy/paste formatting from the leftmost CoA Column, then hide Columns B and C.
(Note: If you need to use the Account Chooser later, you'll need to unhide the original CoA column in order to access it.)
