Overview
After the Client or Company is created and a Standard Chart of Accounts has been imported Admin, Leaders, and Managers may:
- Rename accounts
- Set up whitelist terms
- Add new accounts to the SCoA
- Delete accounts from the SCoA they no longer need
Rename a SCoA Account
Step 1. Click Manage > SCoA.
Step 2. Identify the SCoA account you wish to modify.
Step 3. Rename the Standard Account by clicking the "Edit" button to the right and typing the new name in the "Name" field.
Step 4. Click the “Save” button to save the changes to the SCoA account.
Automap SCoA accounts using a Whitelist
Step 1. Click Manage > SCoA.
Step 2. Identify the SCoA account you wish to modify.
Step 3. Click the "Edit" button to the right.
Step 4. In the Whitelist field, if desired, enter terms that can be used to auto-map your incoming accounts. Learn more about using whitelist terms here.
Step 5. Click the “Save” button to save the changes to the SCoA account.
Create a New SCoA Account
Step 1. Click Manage > SCoA.
Step 2. Identify the SCoA account you wish to add (either a parent or child).
- To create new parent accounts, click the "Create Account" button at the bottom of the account type section.
- To create new child accounts, find the desired parent account and click "Edit" to the right of the parent name.
Step 3. Enter the name of the new SCoA account.
Step 4. In the Whitelist field, if desired, enter terms that can be used to auto-map your incoming accounts. Learn more about using whitelist terms here.
Step 5. Click the Save button to save the new SCoA account.
Move a SCoA Account
WARNING:
- Moving a SCoA account will move not only that SCoA account but all its children, grandchildren, etc.
- Moving a SCoA account will remove the mapping between the native accounts and SCoA accounts for the SCoA account being moved and any of its children, grandchildren, etc.
Rules:
- You cannot move a SCoA account that has locked mappings for the SCoA account or any of its children, grandchildren, etc.
- You cannot move a SCoA account to any of its own children, grandchildren, etc.
- You cannot move a SCoA account to another Account Type
- You cannot move a SCoA account if the move, which includes its children, grandchildren, etc… results in a SCoA branch that is more than 5 tiers deep. Qvinci only allows a SCoA branch to have a maximum of 5 tiers.
To Move a SCoA Account
Step 1. On Manage > SCoA page, select an account that you wish to move.
Step 2. Click Move on that selected SCoA account.
Step 3. Select the SCoA account you want the selected SCoA account to be a child of via the “Move to” drop-down.
Step 4. Click Save.
Deleting a Standard Account
Step 1. Find the desired account you would like to remove from your SCoA.
Step 2. Click the Delete button next to it.
- Note: A parent account cannot be deleted if a child/subaccount exists.
- The child/subaccounts must be deleted before the parent account may be deleted.
Account Map Locking & SCoA Management
- Users are able to add or update the whitelist for locked accounts.
- Accounts that contain locked mappings CANNOT be deleted or renamed via Manage > SCoA.
- Qvinci cannot upload a SCoA unless all Native to SCoA mappings are unlocked for the selected Client/Company.
