Overview
The Standard Chart of Accounts (SCoA) is a tool in Qvinci that allows a multi-unit entity owner to arrange accounts in such a way that comparison of Charts of Accounts with different names can be made possible, without forcing changes to individual accounting files' Charts of Accounts.
Once the Standard Chart of Accounts (SCoA) is created for the Client or Company, the Admin, Leaders, Managers, and Entity Syncers may begin mapping the incoming accounts to the SCoA in Qvinci.
Map Accounts to the Qvinci SCoA
Step 1. From the navigation on the left, click Tools > Map to SCoA.
Step 2. From the drop-down menu labeled "Account Type" navigate through the account types (Income, COGS, Expense, etc.) to find the desired type.
Example: Income has been selected:
On each Account Type page, the left column will display the SCoA names.
Step 3. Click on an SCoA account so that it is highlighted green.
Step 4. From the center of the screen, checkmark one or more native accounts from the accounting file that should map to the highlighted/green SCoA account on the left.
Step 5. Click the “Map Selection” button at the top to make the mapping relationship between the two.
The newly-mapped account(s) will disappear from the list once they are no longer unmapped.
To confirm the mapping, click the “All Accounts” button in the top right. This will display both mapped and unmapped accounts so the relationship can be viewed.
Bulk Map Accounts to the Qvinci SCoA
Mapping more than one account at a time can easily be done by using the Search.
Step 1. Enter a term in the Search box:
- The Search field utilizes a Contains search.
- The Search field looks to the lowest subaccount when searching with the term.
- For example, the account "Operating Expenses: Advertising Expense: Direct Mail" would not appear in a search for "Advertising" because the search is applied to the lowest child account, "Direct Mail".
- If account numbers are utilized in the accounting file (QuickBooks only) then the account number may be entered into the Search box to bulk find all accounts with the same account number.
Step 2. Once accounts are identified, you may checkmark one, many, or all accounts for mapping.
Step 3. Click the “Map Selection” button.
Step 4. The newly mapped accounts will disappear from the list since they are no longer unmapped.
To confirm the mapping, click the “All Accounts” button. This will display both mapped and unmapped accounts so the relationship can be viewed.
Change a Currently Mapped Account to a Different Account
Step 1. Instead of viewing “Unmapped,” click the “All Accounts” button to view both mapped and unmapped accounts.
Step 2. Checkmark the box of the desired account(s) to be remapped. Use the Search box if needed.
Step 3. Click on the desired SCoA account in the column on the left so that it highlights green.
Step 4. Click the “Map Selection” button.
Step 5. The newly remapped account will now display the standard account name in the corresponding column.
