OVERVIEW
Qvinci supports syncing individual Class financials from QuickBooks® instead of only syncing entire QuickBooks files.
The Qvinci Account Owner assigns the Contributor Role to the user who will sync the QuickBooks file. This user must have QuickBooks Admin permissions for the file(s) being synced.
Note: Only one Contributor can be assigned per Location. (See Users and Permissions for details.)
Intuit has certified that only QuickBooks Desktop 2022 (Pro Plus, Premier Plus, Pro, and Enterprise) R3 or later is fully compatible with Windows 11 (64-bit).
Do not upgrade to other editions of Windows 11 until Intuit confirms compatibility for your QuickBooks release. Please see published information on Intuit's website for additional guidance.

STEPS TO SYNC QUICKBOOKS DESKTOP BY CLASS IN QVINCI
Download the Qvinci Sync Client
If the Sync App is not already installed:

Log in to your Qvinci dashboard.

Go to Manage > Entities.
Open QuickBooks and Log In
Open the QuickBooks file you want to sync and sign in using Admin credentials.
Launch the Qvinci Sync App
The app launches automatically when the computer restarts.
If not, open it manually:

Click the desktop icon, or
-
Find it in the system tray (bottom-right corner of the screen) and double-click it.
Link Qvinci to QuickBooks
Once the app is open:
-
Click Link in the blue ribbon (upper-left corner).

Log in with your Qvinci credentials.

All assigned Locations will appear after login.

If no Locations appear, contact your Account Owner or confirm your Contributor permissions.

Choose Intuit QuickBooks as the file type to sync.
Approve the Application Certificate
An example QuickBooks Application Certificate may appear — ignore it (do not click Cancel).
Switch back to QuickBooks when the actual certificate appears, then:

Check “Yes, allow access even if QuickBooks is not running.”

If prompted for a user, select Admin.
This establishes the secure link between QuickBooks and Qvinci.
Enable Class Syncing
When the Class Notification screen appears, select:
✅ “These classes are locations.”
This allows syncing one or more Classes from QuickBooks to individual Locations in Qvinci.
Select the Class Tier (If Applicable)
If your QuickBooks file uses Class tiers:

Choose the desired tier from the dropdown menu.
All synced Classes must be on the same tier to prevent duplicate reporting.

Confirm your selected tier in the Selected Classes column, then click Next.
**If your file has no tiers, skip to Step 8.
Link Classes to Locations
To map Classes to Qvinci Locations:

Click a Reporting Class (left column).
-
Locate the matching Qvinci Location (right column) and click Link.

Enter or confirm address information in the pop-up (a single character is sufficient "1").

Repeat for additional Classes as needed.

Click Save and Sync to start syncing, or Save to link for later.
Complete the Sync
The sync begins immediately and typically takes 15–45 seconds per Class.
The system will confirm once the process is complete.
Automatic Budget Data Sync
If classified budget data exists in the QuickBooks file, Qvinci syncs it automatically.
If:
-
No budget data exists, or
-
The data is not classified,
then Budget vs. Actual reports in Qvinci will display zeros in the budget fields.
IMPORTANT NOTES
-
Class syncing does NOT support Cash Flow or Balance Sheet reporting.

Class syncing is NOT supported in QuickBooks Premier Accountant edition.
To use Class Syncing, switch to another Premier edition.
