Overview
You can void a payment processed through FullsteamPay if the transaction has not already reached a Settled status. Voiding a transaction prevents the payment from being deducted from the customer’s account and prevents processing fees from being charged.
Transactions generally need to be voided before batch settlement occurs. If a payment can no longer be voided, it may need to be refunded instead after funding is complete.
Before You Begin
- Confirm the transaction has not reached a Settled status.
- Void the full transaction amount only. Partial voids should not be used.
- If the customer sees a temporary hold on their card, that hold is typically placed by the customer’s bank after authorization and usually clears within a few business days.
- If the payment has already settled, follow your refund process instead of voiding the transaction.
Void the Transaction in FullsteamPay Pulse
- From the left panel in Qvinci RoyaltyHub, select FullsteamPay Pulse.
- In Pulse, select Transaction Search from the left menu.
- Use the filters or select Search to view recent transactions.
- Find the transaction you want to void and select the transaction ID.
- If the transaction is eligible to be voided, select Void in the upper-right corner of the transaction.
- Void the full transaction amount.
- After the void is submitted, you should see a confirmation message.
- The transaction is now voided, and the customer will not be charged for that payment.
Update QuickBooks
If you use Payment Transaction Sync to update Qvinci RoyaltyHub and QuickBooks for voided transactions, return to Qvinci RoyaltyHub and select $ Sync FullsteamPay from the left panel.
- Select Sync FullsteamPay in the lower-left area of the blue menu bar.
- Wait for the sync to complete.
- Review the status in the FullsteamPay Transaction Sync History report.
Payment Failure Email
If payment failure emails are enabled, the customer may receive an email letting them know the payment did not process. We recommend enabling the option to include the failure reason so the customer understands why the payment was not completed.
You can find this option in Settings > Email, under the Invoice Settings section on the left side of the screen.
