OVERVIEW
The Qvinci Sync Client connects your desktop accounting files to the Qvinci web platform. The Sync Client supports QuickBooks Desktop.
A Qvinci Admin, Leader, or Manager may assign the Entity Syncer role to the user who will sync the file. This person must have Admin login credentials for the file(s) being connected. This login is required for the initial link to Qvinci due to security protocols.
After the link is established, any user with permission to run reports in the file may perform future syncs.
Each Qvinci Entity can have only one Entity Syncer.

Important: Intuit has certified only QuickBooks Desktop 2022 (Pro Plus, Premier Plus, Pro, and Enterprise) R3 or later as fully compatible with Windows 11 64-bit.
Do not upgrade to other Windows 11 editions until Intuit confirms compatibility. See Intuit’s website for current information.
PRELIMINARY STEPS
Step 1: If the accounting application is installed on a server or hosted environment and the Qvinci Sync Client has not been installed, contact your IT professional. Only a server administrator can install the Qvinci Sync Client on a server profile.
Step 2: If the accounting application is installed locally, download and install the Qvinci Sync Client on the same computer as the accounting software. It does not need to be installed where the QuickBooks company files are stored.
INSTALLING THE SYNC CLIENT SOFTWARE
Step 1: Download the Qvinci Sync App executable using the link provided.
Save the installer to the same computer where your accounting application is installed.
Step 2: Run the installer to install the Qvinci Sync Client.
The Sync Client should be installed on any computer used to manage accounting files and perform syncing to Qvinci.
If both server and local workstations are used, install it in both places to ensure smooth syncing.
A system reboot is recommended before using the Sync Client. Admins may choose to restart immediately or later, but a reboot before first use is best practice.
Step 3: Once installed, proceed to Running the Qvinci Sync Client.
SPECIAL INSTRUCTIONS FOR SERVER INSTALLATIONS
Install for All Server Users
Run the installer as a server admin to install the Qvinci Sync Client for all user accounts. This makes the application available across all profiles.
Install for Specific Server Users
Follow these steps to install for specific users via Command Prompt:

Ensure the target user has local admin privileges.

For non-domain users: use Control Panel.
-
For domain users: use Active Directory policies.

Log in as the target user and download (but do not run) the installer.

Open Command Prompt (not as Administrator).

Navigate to the folder where the installer is saved:

to view directories. -

cd {folder name}
to change folders. -
Or copy the full folder path and paste it after

If you see an Admin login prompt, stop and return to Step 1.

If you see a UAC (User Account Control) prompt, click Yes.

- Restart the system if prompted.

Log out of the target user.

Log in as Admin and remove the user’s temporary admin rights.

Restart if prompted (only when all users are logged out).
-
After restart, the target user can log in and use Qvinci.
Only the designated target user should have Qvinci access.

RUNNING THE QVINCI SYNC CLIENT INSTALL ON A SERVER
Supported Accounting Software

Other accounting software may sync to Qvinci without the Sync Client.
Installation Steps

Download the Qvinci Sync Application to the computer with the accounting software.

Save and open the file.
-
If saved manually, locate QvinciSyncSetup.exe and run it.

Accept the terms and conditions (scroll to the bottom).
-
.NET Framework 4.0 will install automatically if needed.

After installation, a blue “Q” icon named Qvinci Sync will appear.

The Contributor can now sync their files using the instructions below.
File Paths Used by Sync Client:
C:\Users\<user>\AppData\Local (sync log files)
C:\Users\<user>\AppData\Roaming\Qvinci (user config files)
LINKING AND SYNCING FILES WITH QVINCI
Step 1: Open the desired QuickBooks file using the Admin login.
(Intuit requires the Admin login for all third-party connections.)
Step 2: Launch the Qvinci Sync Client.
It usually loads automatically in the System Tray (lower-right corner near the clock). If not visible, open it from the desktop icon or the Hidden Icons menu.
Step 3: Click the Link tab at the top of the Sync Client.
Step 4: Log in with your Qvinci credentials. All Entities assigned to your login will appear. If none appear, close and relaunch the Sync Client to reauthenticate, or contact your Qvinci Admin to confirm your permissions.

Step 5: Click Intuit QuickBooks in the top-left corner.
Step 6: Ignore the example Application Certificate screen — do not click Cancel.
Step 7: Return to QuickBooks. When prompted with the Application Certificate, check:

“Yes, allow access...”

Select Admin from the dropdown (if shown).

The second checkbox for personal data is optional.
Step 8: If a pop-up warns that the file may have been linked before:
(Never use copies of QB files; there is meta-data that differentiates between each file.)

Click Cancel if it’s a new company copy.

Click Proceed if linking to a different class or location within the same company file.
If the file has been linked or has an existing token this pop-up will occur.
Step 9: If Classes are detected, choose:

Single Location to sync the entire file, or
-
Follow separate steps for Class Syncing.
Step 10: Select the desired Entity/Location from the list. If you do not click ON the location name the file will NOT be tied to the location, and you will receive an error message.

Step 11: Click Link and Sync Now. The progress bar may pause halfway — this is normal. Syncs usually complete within 30 seconds to 4 minutes.
Step 12: If budget data exists, it will sync automatically. If not, “Budget vs Actual” reports will show zeros for budget fields.
Step 13: To link more files, close the current file, open the next one, and repeat.
Step 14: After syncing, close the Sync Client using the X in the top right.
To confirm sync success, log into Qvinci on the web and go to Tools > Sync Activity.
HOW TO SYNC A QUICKBOOKS DESKTOP FILE TO QVINCI
After linking, any user with Report permissions in QuickBooks can sync the file.
There are two ways that a sync may occur after files are linked:
1. Automated Syncing a Desktop/Hosted File
The Qvinci Sync Client loads in the System Tray at startup. When a QuickBooks file remains open but inactive for about 15 minutes, the Sync Client will automatically run a sync. Each file syncs once every 24 hours after a successful sync.
2. Manual Syncing a Desktop/Hosted File
Linked QuickBooks Desktop/Hosted files can be synced manually at any time by users with report rights and the Qvinci Sync Client installed.
Steps:

Open the QuickBooks file (any login, not necessarily Admin).

Launch the Qvinci Sync Client from the System Tray or desktop icon.

In the Sync Client, go to the In-File Sync tab and click Sync.
-
When the progress bar completes, syncing is finished. You may close the app or sync another file.

DEACTIVATE QVINCI SYNC CLIENT FROM STARTUP
A system administrator can prevent the Sync Client from loading on startup by removing it from the Startup folder in the user’s Start menu.

Trying to download the app ad getting an error: "The signature of QvinciSyncSetup (1).exe is corrupt or invalid."
Hi David, depending upon your firewall and antivirus settings you may not be able to simply download Qvinci. Try saving the download to your desktop and then running from the saved location, as opposed to simply running the download. If you still receive a Windows message look for a "more info" link in the Windows error message. Inside this link you will typically see a "run anyway" option so that you may perform the download regardless of the antivirus warning.
