Overview
Our customers need the ability to import their budgets via Excel as some do not like working with budgets in QuickBooks or QuickBooks Online. To aid in budgeting, we have also added future budgets to help our customers. Qvinci Budgets is made up of Future Budget & Qvinci Budget. This feature will allow our customers to use Qvinci Budgets if they are using QuickBooks, QuickBooks Online, or QuickBooks by Class. Users can now use their QuickBooks budget OR the new Qvinci Budget. The default for budgets is the QuickBooks budget. The Qvinci Budget template accounts come from the QuickBooks / QuickBooks Online file. Users must update the QB / QBO file for any accounts they will need for their Qvinci Budget.

The Entity Syncer is the only one that can enable Qvinci Budget, download Qvinci Budget Template, and sync Qvinci Budget data for an entity.
NOTES: The Qvinci Budget template accounts come from the customer's QuickBooks / QuickBooks Online file. Therefore only native accounts are tracked, not SCoA-based accounts. Native budget accounts mapping will reflect where their native financial account is mapped. Users must update their QB / QBO file for any accounts they need in their Qvinci Budget. The only reports you can run with Qvinci Budget are monthly Profit & Loss budgeting. Budget will become a 3rd possible data source for an entity (Financials, Non-Financials, Budget).
New “Next Fiscal Year” and “Next Calendar Year” date ranges will be provided to use for budget planning and will be available in Profit and Loss Monthly basic reports and the P&L Monthly library template. Users must select a budget option to have “Next Fiscal Year” and “Next Calendar Year” date ranges appear in the Date Range drop-down. Qvinci Budget Excel import template will include 2 previous fiscal years, the current fiscal year, and the next fiscal year tabs. Fiscal alignment will be based on the fiscal alignment of the file (like Excel Financials).

Once budgets have been enabled on your account, the entity syncer will find the new budget tab by logging in and navigating to Manage > Entities on the left-hand menu. Select the entity for which you'd like to sync budget data. Click on the "Budget" tab. You now have two budgeting choices.
This is where QuickBooks Online Budgets is located in Qvinci.

Running Basic Reports with Future Budget and Qvinci Budget
Qvinci's Reports and Libraries tab allows all users to run reports on the entities they have been set up to view. Users may opt to run basic reports rather than to design and style the reports in the library. Basic reports only require basic information to select to build the report you are looking for.
With Future Budget and Qvinci Budget, just like before you may use the drop-down to choose a predefined date range, which now includes two new choices at the bottom of the drop-down, once the budget options have been selected.
Step 1. Put a checkmark in either, or both budget boxes to enable the date range options.
Step 2. Once you have selected your budget options, the date range will show both new options at the bottom.
Step 3. Once all the options are set, you can select the Build My Report button.
NOTES: The custom date range is not an option with Future Budgets. You cannot make changes to basic reports. If you would like a more customized look for the information from a basic report, you will need to save and modify a JumpStart template from the Qvinci Gallery. (See below)
Running Gallery Library Reports with Future Budget and Qvinci Budgets
Qvinci's "Reports and Libraries" tab allows all users to run reports on the entities they have been set up to view. Users may opt to run JumpStart Templates in our gallery so you can design and style the reports as you wish. We now have budgets and future budget capability with our P&L monthly gallery reports.
Running Future Budget and Qvinci Budgets in Our Library of Gallery Reports
Step 1. Navigate to "Reports & Libraries" from the left-hand menu and select "Libraries."
Step 2. Search for any P&L in the gallery search bar. (Note budgets are not supported for weekly reporting.)
Step 3. To enable the budget option you must edit the report. If it is a P&L, select the "Edit" button (If it is a BvA report the budget boxes are automatically enabled.)
Step 4. The Qvinci Report Styler will open another tab.
Step 5. Select the macro at the top of the column.
Step 6. Then select the column chooser. It is on the left side menu.
Step 7. It will open the options available to you. Put a checkmark in the Budget boxes below.
Step 8. Then select "Date Range" and scroll to the bottom for your two new budget options. Use the drop-down arrow to choose the date range of your choice. You can now choose any of the budget options.
Step 9. Then hit the button in the upper right hand corner.
Generating Qvinci Budget Template for the Selected Entity
Step 1. The entity syncer should log in and navigate to Manage > Entities on the left-hand menu.
Step 2. Select the entity for which you'd like to sync your budget data.
Step 3. Click on the "Budget" tab.
Step 4. Click on the "Qvinci Budget" radio button .
Step 5. Click the blue "Generate Template" button. .
Step 6. The template should download normally, then open the template in Excel.
NOTE: If the "Budget" tab does not appear, you are not logged in as the entity syncer.
Entering Budget Data in the Template
Step 1. Click "Enable Editing" in the yellow bar across the top to make changes.
Step 2. Follow this support article on enabling macros in Excel: HERE
Step 3. Navigate to the "BU" tab for the year you need to sync. (For example, to sync budget data for 2024, you'd navigate to the "BU24" tab.) This tab will be pre-populated with your QuickBooks chart of accounts.
Step 4. Feel free to add additional rows for accounts that were not pre-populated if applicable.
Step 5. Click on the first cell populated with a zero ("0") for the year you fill in.
Step 6. Enter your data for each budget account for the appropriate month(s). Each account and total row MUST have data for at least 1 month to sync successfully. You can add 0s for rows that don't have any transactions for the period.
Step 7. Save the template to your computer, keeping in mind you can re-use this template to update data for future budgets.
Step 8. In your web browser, navigate back to the Manage > Entities > Budget section.
Step 9. In the "Budget" section, go to Step 5 and click the "Browse/Choose File" button.
Step 10. Select the Excel file that was just saved to your computer.
Step 11. Click the green "Sync" button under Step 6.
How to Create New Year Tabs with Qvinci Budgets

If you are using a budget template, budget users can add a new tab for the next year.

If you downloaded the template in a previous year, click on the "Create worksheet for the next fiscal year" button on the "Location" tab of the budget template.
- A new BU tab will appear for your next budget year.
