Overview
Qvinci Budgets provide flexible budgeting options for customers who prefer to manage budgets outside of QuickBooks or QuickBooks Online. With support for both QuickBooks Budgets and Qvinci Budgets, users can choose the budgeting method that best fits their workflow while still leveraging Qvinci’s reporting and analysis tools.
Qvinci Budgets consist of two components:
Future Budget
Qvinci Budget
This functionality is supported for:
By default, Qvinci uses the QuickBooks budget, but users may switch to Qvinci Budget at any time.
Important Notes
Qvinci Budget templates pull accounts directly from the connected QuickBooks / QuickBooks Online file.
Only native accounts are supported (not SCoA-based accounts).
Budget data can be used only in monthly Profit & Loss budgeting reports.
Budget becomes a third data source for an entity: Financials, Non-Financials, and Budget.
Access & Permissions
Only the Entity Syncer can:
Enable Qvinci Budget
Generate the Qvinci Budget Excel template
Sync Qvinci Budget data for an entity
If the Budget tab does not appear, you are not logged in as the Entity Syncer.
Budget Date Ranges
New planning-focused date ranges are available once a budget option is selected:
Next Fiscal Year
Next Calendar Year
These date ranges are supported in:
Monthly Profit & Loss basic reports
P&L Monthly gallery templates
The Qvinci Budget Excel template includes:
Two prior fiscal years
Current fiscal year
Next fiscal year
Fiscal alignment follows the fiscal settings of the connected file.
Uploading Budgets via QuickBooks Online
Navigate to Manage > Entities.
Select the desired entity.
Open the Budget tab.
Select the QuickBooks Budget option.
Sync the budget data from QuickBooks or QuickBooks Online.
Qvinci Budgets: Uploading Budgets via Excel
Navigate to Manage > Entities.
Select the entity.
Open the Budget tab.
Select the Qvinci Budget option.
Click Generate Template to download the Excel file.
Open the template in Excel and enable editing and macros.
Entering Budget Data in the Template
Enable editing when prompted in Excel.
Ensure macros are enabled.

Navigate to the BU tab for the budget year you want to sync (e.g., BU24).
The tab is pre-populated with accounts from QuickBooks.
Add rows if additional accounts are needed.

Enter budget values for at least one month per account.
Accounts with no activity should still include a zero.
Save the Excel file locally.
Syncing the Budget Template
Return to Manage > Entities > Budget.
Click Browse / Choose File and select your saved template.
Click Sync to upload the budget data.
Saved templates can be reused to update budgets in future periods.
Creating a Budget tab for the New Year
If using an existing template:
Open the template in Excel.
On the Location tab, click Create worksheet for the next fiscal year.
A new BU tab will be created for the next budget year.
Running Gallery Library Reports w/Budgets
Navigate to Reports & Libraries > Libraries.

Search for a P&L Monthly report.
Budgets are not supported for weekly reports.
Click
Edit to open the Report Styler.
Select the column macro and open the
Column Chooser.
Enable the desired budget columns.
Open Date Range and select one of the budget date ranges.
Click
Submit to save your changes.
Note
Budget options are automatically enabled for Budget vs Actual (BvA) reports.
Running P&L- Future Budget BI Reports
The P&L – Future Budget BI template includes multiple tabs for forward-looking analysis:
Year Over Year (YOY)
Compares Prior Year, Current Year, and Future Year
Displays Actuals vs Budget for each year
Next Fiscal Year – By Quarter
Shows the full P&L budget for the upcoming fiscal year
Displays quarterly columns plus totals
Next Fiscal Year – By Month
Shows the full P&L budget for the upcoming fiscal year
Displays monthly columns plus totals
Why Use Qvinci Budgets
Qvinci Budgets provide flexibility, forward-looking insight, and consistency—allowing you to plan, analyze, and report on budget performance even when QuickBooks budgeting is not your preferred option. Combined with Future Budget reporting, this feature supports stronger forecasting, planning, and financial decision-making across your entities.
